Policies
To provide consistent and fair scheduling for everyone.

To provide consistent and fair scheduling for all students, the following cancellation and attendance policy applies to all tutoring and piano lessons, both online and in-person.

Lesson Length and Payment
Academic tutoring lessons are usually 60 minutes.
Piano lessons are 30 minutes.
Lessons are paid per session, unless otherwise arranged.

Student Cancellations and Rescheduling

Reminder notifications are sent automatically for each lesson booked to the parent and student emails and cell phone numbers provided at registration at the following intervals:
-Twenty four hours ahead via email
-Four hours ahead (just prior to the second cancellation window) via text

6 or more hours' notice
Lessons cancelled with at least 6 hours' notice may be rescheduled, or credited for a future lesson. No fees apply.

3 to 6 hours' notice
Lessons cancelled within 3 to 6 hours' notice are subject to a 50% lesson fee.

Less than 3 hours' notice and No-Shows
Lessons cancelled with less than 3 hours' notice, or missed entirely without notice will be charged the full lesson fee and are not eligible for rescheduling or credit.
A no-show includes failing to attend the lesson or cancelling after the scheduled start time.
Late Arrivals
Lessons will end at the originally scheduled time, regardless of late arrival.
Remaining lesson time will be used as effectively as possible.
Extended time is not guaranteed.
Students who are more than 15 minutes late are considered a no-show and are subject to the entire lesson fee.

Grace Cancellation
Each student is allowed one grace late cancellation per term, which may be applied to one of:
-A 3-6hour late cancellation
-A less than 3 hours' notice cancellation or no-show.

When the grace cancellation is used, no fee will be charged.

Terms are defined as:
-September to January
-February to June
-July to August

Once the grace cancellation has been used, all the standard cancellation fees apply for the remainder of the term.

Filling Cancelled Lessons
Occasionally, I may attempt to fill a cancelled lesson from the cancellation list. While this helps keep the schedule full, it does not reduce or waive the standard cancellation fees for late cancellations or no-shows.

Emergencies, Illness and Inclement Weather
Emergencies and sudden illness will be handled on a case-by-case basis. A credit or reschedule may be offered when appropriate.

Inclement Weather
During periods of severe winter weather, including heavy snowfall, freezing rain, or unsafe driving conditions, lessons may be cancelled or moved online without penalty.
Weather-related cancellations will not count toward the student's grace cancellation, provided reasonable notice is given.

Small Group Sessions
Small group sessions are available for groups of two to four high school students in the same class. Groups can be created by students or suggested by the tutor.

Fee structure:
One student is billed at 100% of the private session rate.
Two students are each billed at 75% of the private session rate.
Three students are each billed at 62.5% of the private session rate.
Four students are each billed at 50% of the private session rate.

Students are billed for these sessions after the session has transpired. Each member of the small group agrees that the number of students actually in attendance at a session dictates the rate for which they are responsible.
For example:
If a session is planned for a group of three students (would have been 62.5% of the private session rate each) but one student cancels with less than 6 hours notice, the two students in attendance pay their normal planned rate of 62.5%. If the third student cancels with more than 6 hours notice, the two students who attended are each responsible for 75% of the private session rate.

The standard cancellation policy described above applies to each student, including Grace Cancellation and Emergencies, Illness, and Inclement Weather.

Tutor Availability and Cancellations
I make every reasonable effort to be available for all scheduled lessons and to provide advance notice of any changes. However, on rare occasions, lessons may need to be rescheduled due to illness, emergencies, or previously scheduled personal commitments.
If I must cancel a lesson:
-The lesson will be rescheduled whenever possible, or
-If already paid and rescheduling is not possible, a full credit will be issued.

Agreement
Booking a lesson of any type constitutes acceptance of this cancellation and attendance policy.
